How to build an Amazon seller P&L that matches operations
Seller Central revenue is useful for daily trading, but it is not a complete profit statement. A trustworthy Amazon P&L keeps gross sales visible, then reconciles refunds, tax, Amazon fees, advertising and product cost for the same orders, markets, currencies and period.
Keep gross revenue and net revenue separate
Use gross ordered-product revenue as the sales KPI sellers recognize. Record refunds and concessions on their own lines so they do not disappear inside a smaller revenue number. The P&L can then derive net revenue while the trading dashboard remains comparable with Amazon. Never mix units ordered with units retained after returns without labeling both.
Reconcile fees from financial events
Referral, fulfilment, storage, return-processing, reimbursement and other Amazon events can settle after the order date. Preserve event type and settlement date, but attach costs to the appropriate operational period where your accounting policy requires it. Do not infer all fees from a percentage if the actual financial event is available.
Add advertising and COGS at the same grain
Advertising spend belongs beside sales even when ad attribution is reported separately. Match marketplace, currency and date coverage before calculating TACoS or profit. COGS should use the SKU's landed unit cost multiplied by units sold, with a documented treatment for returned, reimbursed and lost units.
Do not mistake collected VAT or FX movement for profit
VAT-inclusive customer revenue must be separated from tax collected. Maintain source currency for audit, then apply a dated exchange rate for the reporting view. Converting each market at a different undocumented rate can create apparent profit that is only an FX mismatch. VAT filings remain a separate workflow even when the management P&L removes VAT from revenue.
Close the period with reconciliation checks
Compare order count and gross sales with Amazon, tie fee totals to financial events, verify ad coverage by marketplace, identify missing costs and keep a list of late settlements. Mark a period complete only when its source coverage is known. A zero caused by missing data is not the same as a real zero.
